Auction 123 and MS Windows Our computer uses Windows. I see by your web site that Auction 123 utilizes Lotus Approach. Is this compatible with Windows and is Lotus included in the price?

I have been working like crazy on an auction for our local Fire Department to be held this September.  I was looking on line this evening trying to find bid sheet forms and ran across your website.  Does your program put together a list of auction items in a printable format for an auction item brochure?

 

Baskets and Bundling of Inventory Items I've been looking for a software for our school's annual live/silent auction and I came across your website.  I have a specific question about the software.  Does it allow multiple indexing of items?  What I mean by that is can you assign an item a number  but can you group multiple numbers into a second category.  So if I wanted to log every item I got as it came in I can then  group these items into "baskets" of several items to auction off.

 

Software License Does the program have to be Licensed to a Group or Company or can it be licensed to an individual computer?

 

Move Auction 123 and Data We used Auction 1-2-3 at our last event and loved it. This year we are planning to use it again but a different person will be entering data and will not be able to bring her computer to the event. Are we able to enter data on her computer then save to disk and bring to event to use on a different computer?

Dinner Party seats or Poker Party seats - multiple winning bidders on the same item. After reviewing your web site and your auction software, I still have questions. Can Auction 123 handle multiple winning bidders on the same inventory item? For instance, we may offer a poker night for 4 people, and 4 separate bidders may place a winning bid. They will then have a poker night together. Yes, You can move Auction 123 and your data from one computer to the next (or to copy/backup Auction 123 and your data to another computer), please consider your desktop/home computer the MASTER and the computer which you intend to move the Auction 123 application and your vendor, Bidder and Inventory data as the TARGET.

When are ready to transfer your Auction 123 program and data from your master computer to the target computer on which you plan on using at your event, please follow these instructions:

1. Install Auction 123 and Lotus SmartSuite, using your original CDs, on the new computer (target)
2. Go to the original computer where your data is contained (Master). Using windows explorer,

go to c:\program files\auction123 if your are using Version 2.0
go to c:\program files\auction123 3.0 if your are using Version 3.0

and open the Auction 123 or Auction 123 3.0 folder

3. Select all files in the folder and copy them to a removable media device (CD, Zip Drive or USB RAM device)
4. Go to the TARGET computer. Using windows explorer, go to c:\program files\auction123 and open the auction 123 folder
5. Delete the files in the folder on the TARGET computer (TARGET) computer only, DO NOT delete these files from the MASTER Auction 123 installation
6. Paste the files from the master computer and now contained on your removable media device into the

c:\program files\auction123 folder if you are using version 2.0
c:\program files\auction123 3.0 folder if you are using version 3.0

and on the TARGET computer - overwrite the files if prompted by Windows

7.Open Auction 123 on the target computer using the icon on the desktop. It will appear as a duplicate of your MASTER Auction 123

Your Vendor, Inventory and Bidder data will now be available on the Target computer.

Regarding the instructions for adding more than 5 items per vendor:

1) scroll down to the last (5th) inventory item for the vendor (add the first five items in the normal manner using the 'add inventory' button)
2) click on the brochure description field (the large field), make sure your cursor is now located in that field and press the TAB key
3) a new inventory item space should open for you, if does not, follow these additional instructions:
4) you should have about 1 inch of gray space below the brochure description. If you do not, you should see a second scroll bar (skinny one, just to the right edge of the gray field and not the normal
scroll bar on the right hand side of your screen). On the skinny scroll bar, scroll up and then scroll all the way down. Now you should see about 1 inch of gray space.
5) click on the brochure description field and make sure your cursor is now located in that field and press the TAB key

I personally developed Auction 123 for  back in 1998 for our own PTA silent auction event and our auction chairperson did not have strong computer skills.

Auction 123 is push button driven and designed solely for auction events. It is not complicated. You just enter your vendors, enter inventory and Auction 123 automatically assigns the inventory to the correct vendor. Then enter you bidders and on the evening of your event use the quick entry screen to join your bidders to your inventory items and Auction 123 will immediately produce your invoices (with grand totals).

Auction 123 must be used on a Windows-based operating system (windows 98, windows 2000 or windows 2000 XP). Auction 123 and your data can easily be moved for one computer to another.

The lotus approach license is included in the purchase price for both version 2.0 and 3.0. It is not required for upgrades from 2.0 to 3.0 as those existing customers already have the license from their purchase of version 2.0

Inventory number assignments in Auction 123 are a combination of 1) the first letter of the vendor donation category and, 2) a sequence number that is independent of the first letter of the donation category. This design is required in order to ensure your inventory numbers are absolutely unique.

The inventory number should be viewed only as a unique identifier. That is its sole purpose of this field in the relational database. Gaps in the numeric range for this field are to be expected and this does not impact Auction 123’s performance in any way.

Auction 123 will then process your baskets (and the individual inventory items contained in you baskets) appropriately when processing your winning bidders and the resulting invoices.

Yes we understand your requirement and Auction 123 is designed to handle this situation utilizing standard functions in Auction 123.

Many of our customers have described a similar requirements (One family is hosting a dinner event at their home and there are 8 available seats which there will be 8 separate winning bidders).

 
In order to set up Auction 123 to handle multiple winning bidders on the same item (for example, a poker night for 4 people - four different winning bidders or one family hosting a dinner event with 8 seats - 8 different winning bidders), please follow these easy instructions and we will use the dinner party example:
 
1) Create a new vendor and the vendor name is: Dinner Party for Eight, you should use contact names/addresses for the family hosting the dinner party in those vendor master fields.
 
2) Add 8 separate inventory items for that vendor, each representing one seat at the dinner party (dinner party seat #1, dinner party seat #2 and so on). You can then assign 8 different winning bidders to these inventory items (or one bidder can win more than one seat in the case of a couple or family).
 
In this easy way, you can:
 
- Represent each seat as a separate inventory item allowing the assignment of multiple winning bidders and set minimum bid amounts for each seat
- Produce separate bid sheets for each seat at the party
- Keep the inventory items together as they are all associated with only one vendor
- Represent the winning bid of one or more seats at the party on the winning bidders invoice and
- Auction 123 will produce, at your option, only one thank you letters for the family hosting the dinner party.
